supporting day-to-day office needs and helping our teams stay organised and
focused.

Here's what you'll be doing:

  • Manage day-to-day office operations, including inventory control, procurement of office supplies and equipment, coordination of repairs, and liaison with approved suppliers and service providers.
  • Maintain organised digital and physical filing systems, ensuring confidentiality, compliance, and efficient record-keeping.
  • Oversee reception and front-office activities, acting as the first point of contact for visitors, employees, and external enquiries; manage visitor access, office security procedures, and the main phone line.
  • Coordinate travel arrangements for employees and senior management, including flights, accommodation, ground transport, and itineraries.
  • Coordinate meetings and office logistics, including scheduling, room bookings, preparation, refreshments, mail handling, courier services, and general office presentation.
  • Support financial and operational administration, including cash box records, printer usage reporting, and sustainability-related monitoring.
  • Assist HR and management teams with onboarding, office events, training sessions, and company-wide activities.
  • Participate in office health and safety initiatives, including membership of the Safety Committee and coordination with external contractors for building improvements and repairs.
  • Provide high-level administrative and secretarial support to senior management, including calendar management for the CEO and assistance to the Managing Director, COO, Quality Manager, and HR Manager.
  • Coordinate effectively with internal teams to ensure smooth and efficient company operations and undertake additional duties as required.
  • Other duties as assigned. 

You need these qualifications and attributes:

  • College or university graduate. 
  • Proficiency in MS Office and general computer literacy.
  • Excellent command of the English language (written and verbal). 
  • Strong organizational, communication, and multitasking skills.
  • A proactive and professional mindset with attention to detail.

It would be nice if:

  • You have experience in a similar administrative or receptionist role.
  • You have knowledge of safety standards and compliance in office operations.
  • It would be nice if you hold a degree in Business Administration, Tourism Management, or a related field.
