The Secretary / Office Receptionist plays a key role in creating a welcoming and efficient office environment. This position supports management and professional staff by ensuring smooth day-to-day operations through a variety of administrative and organizational tasks. Responsibilities include managing incoming calls and messages, greeting and assisting visitors, handling correspondence, maintaining accurate database records, coordinating courier services, monitoring office supplies, and providing general support to keep the office running seamlessly.

Key Responsibilities

  • Answering and transferring phone calls;
  • Meeting, directing and registering visitors, offering drinks and providing other assistance, if requested;
  • Taking and leaving messages;
  • Receiving, registering and distributing incoming correspondence in accordance with TMF's internal procedures;
  • Translating and summarizing documents;
  • Sending and registering correspondence by fax for couriers;
  • Updating information databases, enter disbursements and time sheets as instructed by Managing Directors and/or the finance director and/or Internal accountant;
  • Providing other assistance to Management and professional staff, as well as initiating any activities/procedures to improve of the quality and efficiency of Reception's services to clients or its interaction with TMF's staff as a team;
  • Attending to office supplies, including stock taking and ordering;
  • overseeing and attending to the cleanliness of the office;
  • Any other duty which is instructed directly by the Managing Directors.

Key Requirements

Ideally, you are meeting following hiring criteria:

  • High school diploma / Fresh graduates in BA Business Administration or students in their final year will be considered as well - please note this role is full time - office hours;
  • Excellent knowledge of English and Greek language is mandatory;
  • Confident use of MS Office softwares;
  • Excellent communication and organizational skills;
  • The ideal candidate will have a friendly demeanor, and an eagerness to assist clients and other colleagues;
  • Some relevant work experience or internships in accounting or finance is an advantage, but not a must.
