Position: Purchasing Administrator

Why we need you: You'll play a key role in ensuring smooth procurement processes, maintaining high standards of quality, and supporting efficient operations within the department.

Here's what you'll be doing:

  • Reporting complaints and discrepancies between vessels and suppliers to the Fleet Supervisor and resolving them effectively.
  • Establishing clear and professional communication with suppliers and clients.
  • Overseeing and monitoring the supply and delivery process, ensuring proper documentation is maintained, and verifying invoices from both suppliers and clients for accuracy.
  • Monitoring vessel performance to support departmental objectives and ensure adherence to budgetary requirements.
  • Managing the monthly closing inventory process and ensuring that vessel catering accounts are accurately updated.
  • Creating and maintaining template documents and reports, including monthly catering reports, customer review reports, supplier comparison reports, supplier benchmarking, and supplier performance records.
  • Safeguarding and organizing documentation for inquiries, purchase orders, and other related materials, while ensuring the security and confidentiality of all records.
  • Performing all administrative tasks in compliance with the Integrated Management System (IMS) and staying informed about any updates or changes.
  • Other duties as assigned. 

You need these qualifications and attributes:

  • College or university graduate. 
  • Proficiency in MS Office and general computer literacy.
  • Excellent command of the English language (written and verbal). 
  • Strong communication skills and a team player mindset.
  • Passion for the maritime industry. 

It would be nice if:

  • You have experience in a similar position within the maritime industry.
  • You have experience or education in Culinary Arts, Nutrition, Food Technology, or Maritime Studies.
