We're seeking a detail-oriented
HubSpot CRM & Data Operations Manager
to run our day-to-day CRM, data ops, and outreach enablement. You'll ensure our databases are accurate and compliant,
own HubSpot administration
(Sales/Marketing/Ops Hubs), and ship the automations and dashboards that turn outreach into qualified meetings and revenue.
This role is crucial to our success—the quality of our data directly impacts the quality of meetings we arrange and the value we deliver to clients.
Detailed Role Responsibilities
Data Management & Quality Control
• Maintain and update attendee databases, ensuring accuracyacross all events
• Cleanse, deduplicate, and standardize data from multiple sources
• Implement quality control processes to maintain data integrity
• Monitor data accuracy metrics and continuously improve data quality.
• Build and manage targeted lists for event-specific meeting programs
• Segment attendees based on criteria such as industry, job title, interests, and meeting preferences
• Coordinate list delivery to event organizers according to project timelines
• Track list performance and maintain documentation of segmentation logic
HubSpot CRM Administration
- Admin: properties,
custom objects
, pipelines, lifecycle stages, lead scoring, user roles & permissions. - Automation: workflows for lead routing, SLAs, enrichment, dedupe alerts, meeting handoff, and post-event nurture.
- Sales Ops: sequences & task queues, meeting links/round-robin, playbooks, pipeline hygiene and forecasting.
- Deliverability & Compliance: DNS/DKIM/DMARC checks, bounce/spam monitoring, GDPR/consent & preference centers.
- Reporting: dashboards for meetings booked, funnel conversion, source/attribution, event/sponsor ROI.
- Integrations: JustCall ( LinkedIn/Sales Nav, Waalaxy, ZoomInfo, AppSheet/Sheets, Zapier/Make, Teams
- Enablement: create simple SOPs and Looms; run short trainings; be the day-to-day HubSpot point of contact.
Coordination & Communication
• Liaise with event organizers to understand their specific data requirements
• Collaborate with the sales and operations teams to support meeting pre-qualification
• Provide data insights that improve our meeting matching processes.
Document processes and create standard operating procedures
What We're Looking For
- Essential 3–5+ years in data management / sales or marketing ops, i
- 2+ years of hands-on HubSpot experience.
- Evidence of building HubSpot workflows, dashboards, properties, and user governance.
- Advanced Excel/Google Sheets (pivots, XLOOKUP, text cleaning, regex where helpful). Strong grasp of GDPR/consent and email deliverability best practices. E
- xcellent attention to detail, organization, and English communication.
- Preferred HubSpot certifications (Admin, Marketing, Sales, or Ops Hub)
- Familiarity with telephony, enrichment, and outreach tools connected to HubSpot.
- SQL or basic Python for data cleanup; experience with BI (Looker/Power BI/Tableau).
- Light HTML for email/templates is a plus.
