About the Role

As Office Manager at Neoflow, you'll play a key role in creating an efficient, productive, and positive workplace environment. You'll foster our culture and support the team across all aspects of office life. You'll combine operational, administrative, and people-focused responsibilities, supporting both the team and leadership in building a thriving and well-managed workspace.

What You'll Do:

Own Daily Operations

  • Oversee all aspects of daily office operations, ensuring a productive, safe, and professional work environment
  • Serve as the primary point of contact for all office-related matters, including facilities management, vendors, and suppliers
  • Manage office supplies, furniture, equipment, and infrastructure to support day-to-day operations
  • Coordinate office maintenance, IT infrastructure, and facility management

Provide Executive Support

  • Support the leadership team with travel arrangements, scheduling, and meeting coordination
  • Prepare materials and handle correspondence as needed
  • Act as an operational problem-solver across special projects and company initiatives

Build Office Infrastructure

  • Plan and oversee office projects and improvements, managing timelines, budgets, and deliverables
  • Create and maintain office policies and processes, ensuring compliance with company standards and health & safety regulations

Enable Team Excellence

  • Support onboarding for new team members and enhance overall employee experience
  • Coordinate internal events, team meetings, and company gatherings
  • Manage office calendar, meeting room bookings, and shared resources
  • Handle administrative tasks, including mail, couriers, and documentation

Support HR & Compliance

  • Assist with employment documentation and benefits administration
  • Coordinate with HR on employee events
  • Ensure compliance with local labour laws and office safety regulations
  • Support recruitment logistics, including interview scheduling and candidate coordination

Who you are:

Operations Expert
- Experience as an Office Manager, Facilities Coordinator, Executive Assistant or in a similar administrative leadership role

Proactive Builder
- You take initiative and build systems without waiting for direction; you see what needs to be done and make it happen

Highly Organised
- Exceptional organisational and multitasking skills with meticulous attention to detail

People Person
- Outstanding communication and interpersonal skills with the ability to build relationships at all levels

Tech-Comfortable
- Proficient with digital tools (Google Workspace, project management platforms like Asana or Notion, expense management systems)

Discretion & Integrity
- Ability to handle confidential information with discretion and professionalism

Bonus:
Experience in regulated financial services environments (fintech), familiarity with executive support and background supporting remote/distributed teams.
