MAIN DUTIES AND RESPONSIBILITIES:

  • Taking and distributing minutes of meetings
  • Coordinating visit/meeting requests from Suppliers
  • Providing Administrative Assistance to the Commercial Manager
  • Maintaining the Department filing systems and a customer complaints log
  • Maintaining a database of contracted Supplier's details, new Supplier Request Form as received from Members, and evaluations received from Members on contracted Suppliers
  • Ensuring that all Member and Supplier agreements are filed, archived, and available at all times
  • Maintaining a database of Members' fleet list and circulating it to the relevant parties
  • Ensuring distribution lists are up to date and available at all times
  • Supporting statistics and analysis related to contract utilization and supplier performance
  • Collecting, developing, analyzing, and reporting statistical data to the Commercial Manager reflecting activity with contracted suppliers
  • Preparing and maintaining benchmarking records between suppliers/potential suppliers upon request
  • Performing Pricing and Market Trend Analysis at the request of the Commercial Manager
  • Participating in undertaking and executing special tasks/projects as requested by the Management

CANDIDATE PROFILE:

  • University degree and/or at least 1 year relevant work experience in a similar role in the maritime industry
  • Proficient in Microsoft Office programs, such as Excel, PowerPoint
  • Pays careful attention to detail and strong emphasis on accuracy
  • Good negotiation, communication, and interpersonal skills
  • Good organizational skills and ability to work within a team
  • Ability to handle multiple projects simultaneously to meet goals and deadlines
  • Excellent command of the English Language
  • Familiarity with relevant regulations and legal aspects of contracts and procurement can be a plus
