Purpose of the Role
The Partner Operations Coordinator ensures that all external partnerships, including banks, payment providers, vendors, SaaS tools, and service partners that are properly onboarded, maintained, renewed, and offboarded.
This role combines operational structure and compliance accuracy, ensuring that all contracts, documentation, and partner relationships are always current, verified, and effectively managed across the group.
Key Responsibilities
- Coordinate and manage the onboarding, renewal, and offboarding of all external partners and vendors.
- Act as a primary contact point for external partners, ensuring smooth and timely communication during onboarding or compliance reviews.
- Coordinate onboarding and KYB processes for new entities with banks, acquirers, and PSPs.
- Collect, prepare, and submit all required compliance documentation (corporate structure, UBO information, director IDs, company certificates, financial statements, etc.).
- Maintain an organized and current documentation archive for all active entities, vendors, and partners.
- Monitor expiration dates of corporate and compliance documents and proactively request updates (e.g. certificates, ownership changes, address updates).
- Ensure timely contract renewals or terminations, coordinating with Legal for reviews and compliance before signature.
- Support both the Head of Payments and the Head of Tech by keeping all payment, banking, and software-related partnerships organized and up to date.
- Verify that all active vendors, platforms, and tools are still in use and relevant, and flag redundancies for deactivation.
- Communicate proactively with external partners to follow up on pending actions, missing information, or compliance requirements.
- Support Finance and management with structured reporting on partner status, contract cycles, costs, and documentation validity.
Skills & Profile
- Exceptionally organized and detail-oriented, with strong administrative discipline.
- Excellent communication and relationship-building skills, both internally and externally.
- Naturally proactive and follow-up driven, ensuring every process is completed accurately.
- A genuine multitasker ("all-rounder") who enjoys handling varied responsibilities across multiple entities.
- Comfortable managing documents in multiple languages; fluency in English required, other languages are a strong plus.
- Confident working with Legal, Finance, and Tech teams on contracts, software tools, and compliance documentation.
- Experience in vendor coordination, KYB/KYC administration, or contract management is an advantage.
