Executive Business Support Officer
to join our dynamic team.
We are seeking a proactive and highly organized
Executive Business Support Officer
to support our senior management and ensure the smooth operation of our Limassol office. This dynamic role combines executive assistance, office coordination, vendor management, travel and event logistics, and internal process support. The ideal candidate will have excellent communication skills in English and Greek, strong attention to detail, and the ability to handle multiple priorities with discretion and professionalism.
Executive Support
- Manage the calendars and meeting schedules of senior management, ensuring optimal time allocation.
- Draft, proofread, and send professional correspondence, reports, and internal communications on behalf of the leadership team.
- Screen and manage incoming communication, flagging priorities and coordinating responses where needed.
- Track deadlines and follow up on action items to ensure timely execution.
- Assist with confidential administrative tasks and employee benefit processes (e.g., medical insurance, provident fund).
Travel & Logistics
- Coordinate all aspects of domestic and international travel for executives and staff, including flights, accommodation, and ground transportation.
- Ensure all travel arrangements align with company policies and budgets.
- Manage registrations for conferences, trainings, client visits, and external events.
- Provide logistical support before, during, and after travel.
Event Coordination
- Organize internal and external events, including venue scouting, catering, logistics, and vendor liaison.
- Ensure seamless execution of events, from planning through to post-event wrap-up and feedback collection.
Office Coordination
- Oversee daily office operations, ensuring a clean, well-maintained, and efficient working environment.
- Serve as the main point of contact for administrative requests, office issues, and vendor interactions.
- Manage office supply inventory and liaise with suppliers for timely replenishment.
- Prepare and manage meeting rooms, ensuring all necessary equipment and materials are available and functioning.
- Support the onboarding of new employees, including workspace setup and office orientation.
Requirements
- 10+ years of experience in executive assistance, office coordination, or a similar administrative role.
- Fluency in
English and Greek
, both written and verbal (to be evaluated through assessments). - Exceptional organizational, communication, and time management skills.
- Proactive mindset with the ability to work independently and handle confidential information with integrity.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint); familiarity with digital office tools is a plus.
- Must be
based in Limassol
, with a hybrid work model (minimum 3 days in the office per week).
Preferred Qualifications
- Experience coordinating executive travel and managing logistics for business events.
- Familiarity with basic HR functions, such as onboarding and benefits administration.
- Strong interpersonal skills and experience in managing external vendors or service providers.
- Positive, can-do attitude with a collaborative, solution-oriented approach.
