The Front Office Assistant is responsible for managing the front desk operations, providing excellent customer service, and ensuring smooth communication between clients, visitors, and internal departments. This role involves handling administrative tasks, maintaining records, and assisting in daily office operations to ensure an efficient and welcoming environment.

Key Responsibilities:

  • Greet and welcome visitors in a professional and friendly manner.
  • Answer and direct incoming calls promptly and efficiently.
  • Manage front desk operations, including scheduling appointments and handling inquiries.
  • Maintain office records, correspondence, and filing systems.
  • Assist with administrative tasks such as data entry, document preparation, and mail handling.
  • Coordinate with internal departments to support daily business operations.
  • Monitor and maintain office supplies and equipment.
  • Ensure the reception area is tidy and presentable at all times.
  • Handle visitor access, badges, and security protocols as required.
  • Provide general administrative and clerical support to management and staff.

Qualifications and Skills:

  • High school diploma or equivalent (Associate's degree preferred).
  • Proven experience in front office, receptionist, or administrative support roles.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficient in MS Office (Word, Excel, Outlook).
  • Professional appearance and positive attitude.
  • Ability to handle confidential information with discretion.

Work Environment:

  • Office-based position with regular working hours.
  • Interaction with clients, visitors, and internal teams daily.
