We are seeking a highly organized and proactive Executive Personal Assistant to support the Managing Director of HFM in our Larnaca, Cyprus office. The ideal candidate will be a professional, discreet, and reliable individual who can manage a wide range of administrative and executive support tasks. This role is central to the smooth operation of the Managing Director's schedule and the efficient handling of daily business activities.
Key Responsibilities
- Effectively manage and maintain the Managing Director's complex calendar, including scheduling appointments, meetings, and travel arrangements.
- Screen and manage incoming calls, emails, and correspondence. Draft, proofread, and prepare professional communications on behalf of the Managing Director.
- Co-ordinate, with the Travel Co-ordinator, all aspects of the Managing Director's business travel, including flights, accommodations, transportation, and creating detailed itineraries in.
- Prepare agendas, presentations, and necessary materials for meetings. Take meeting minutes and distribute them to relevant parties.
- Perform a variety of administrative duties, such as organizing files, managing expenses, and preparing reports and documents.
- Handle sensitive information with the utmost discretion and maintain strict confidentiality at all times.
- Assist in the planning and coordination of company events, conferences, and internal functions.
- Undertake special projects and other duties as assigned to support the Managing Director and the team.
- Liaise with internal teams and external partners on behalf of the executive.
Requirements
- Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
- Excellent organizational, time management, and multitasking skills.
- Strong verbal and written communication skills in both Greek and English.
- Proficiency in Google Workspace, Excel, techy-savvy and other relevant software.
- High level of professionalism, integrity, and discretion.
- Ability to work independently, anticipate needs, and solve problems proactively.
- A positive attitude and the ability to thrive in a fast-paced environment.
- Previous experience in the financial or corporate services sector is a plus.
