Security Specialist at WS Reception

We are looking for a Security Specialist at WS Reception to join our team.
Your main responsibilities will be:

• Access Control & Visitor Management:
• Supervise and control access for all individuals entering the building;
• Verify visitor identity and confirm details of their meeting (person, company, and floor);
• Notify employees and Security Specialists (2,3 and 4th floor) of arriving visitors via official communication channels preferred Slack;
• Ensure all delivery personnel and visitors, especially Wolt to remove helmets and to have visible face before entering;
• Visually inspect all delivered packages; report any suspicious items immediately to the Supervisor;
• Maintain a professional and welcoming reception environment at all times.
• Parking & Vehicle Control:
• Operate the garage entrance system and intercom for vehicle access;
• Verify vehicle plate numbers against the registered database and coordinate with Office Manager to add new ones;
• Ensure vehicles park in their assigned spaces, preventing misuse of multiple parking spots;
• Monitor and manage parking around the building, ensuring clear access for deliveries, construction vehicles, and emergency services;
• Place and remove traffic cones as instructed by the Supervisor;
• Manually operate parking ramps and garage doors in case of electrical failure.
• Building Security & Patrols:
• Conduct regular patrols of the ground floor, parking areas, and external perimeter;
• Ensure all doors and access points are properly secured before the end of shift at 23:00;
• Perform building condition checks at the end of shift and complete Handover/Takeover (HOTO) protocol with the next shift;
• Assist with coordination of deliveries and cooperate with Office Managers on all floors regarding orders of equipment like traffic cones or other equipment for operational needs.
• Emergency Response & Safety:
• Act as the first point of contact during emergencies (fire, evacuation, power failure, etc.);
• Operate the fire alarm panel located at reception;
• Open all emergency stair exits and prepare safe evacuation routes for all people sent downstairs from Security Specialist's;
• Ensure all employees proceed to the assembly point during evacuation;
• Direct emergency services to the appropriate building entrance and area of incident;
• During power outages, perform patrols to confirm safety and manually secure building access points.
• Communication & Coordination:
• Maintain constant communication with Security Specialists on other floors, the CCTV Monitoring Team, and the Patrol Team;
• Report all incidents, suspicious persons, or irregular activities to the Supervisor immediately;
• Follow instructions from Security Supervisors and cooperate with Security Specialists, Patrol Team, or CCTV Monitoring staff promptly when responding to alerts;
• In case of incidents after 22:00, contact the Patrol Team and report it to the Supervisor;
• Maintain a detailed log of activities, visitors, incidents, and communications during each shift.
• Professional Conduct:
• Demonstrate high standards of customer service and professionalism at all times;
• Remain alert, polite, and proactive in managing building safety;
• Ensure confidentiality and discretion when handling visitor and company information;
• Comply with company security policies and procedures.
• Other Duties & Dress Code:
• Coordinate shift schedules, vacation, and sick leave requests directly with the Supervisor;
• Support continuous improvement of building safety and access protocols provide ideas and suggestions to Supervisor;
• Wear business casual clothes without big logos, graphics, or signs. Always clean and without stains. Clothing should be neat, well-fitted, and appropriate for a professional environment.

Essential professional experience:

• Proven experience in security, building supervision, or facility management (preferred);
• Excellent communication and interpersonal skills;
• Strong sense of responsibility and attention to detail;
• Ability to remain calm under pressure and respond effectively in emergencies;
• Basic computer literacy (use of laptop-based access systems and reporting tools);
• Knowledge of safety, fire, and emergency procedures is an advantage.
