Office Secretary / PA to Managing Director

C. Savva & Associates Ltd (CySec license number 29/196) is an independent, international tax advisory and corporate services firm established in 2010. We are acknowledged as a leading Cypriot professional services provider as a result of having one of the strongest technical teams on the island, adopting a service-minded approach unseen among our competitors, and being among the most cost-efficient tier-1 providers on the island.

We are currently searching for a high-calibre, career-driven individual to assume the role of Office Secretary / PA.

In this role you would be required to handle the following core responsibilities:

  1. Telephone and Communication Management:

  2. Efficiently answer, screen, and direct phone calls.

Manage the Director's communication, including emails and messages.

  1. Managing Director Support:

  2. Act as a Personal Assistant to the Director, handling personal tasks as needed.

Manage the Director's calendar, schedule appointments, and organize meetings.

  1. Document Handling and Filing:

  2. Prepare, organize, and maintain documents and office records.

  3. Assist in the preparation of reports, presentations, and correspondence.

  4. Meeting Coordination:

  5. Organize internal and external meetings, including logistics and attendee management.

  6. Take minutes during meetings and circulate them as required.

  7. Office Administration:

  8. Manage office supplies inventory and place orders as necessary.

  9. Coordinate with various departments for smooth office operations.

  10. Guest and Visitor Management:

  11. Welcome guests and direct them appropriately.

  12. Ensure reception area and meeting rooms are well-maintained.

  13. Travel and Event Planning:

  14. Arrange travel, accommodations, and itineraries for the Director.

  15. Assist in organizing office events and functions.

  16. General Assistance:

  17. Provide general support to visitors and staff.

  18. Handle ad-hoc projects and tasks as assigned by the Director, including assistance to the Marketing and Compliance departments.

About you:

  • Strong organizational and multitasking skills;
  • Excellent communication and interpersonal abilities;
  • Prior experience in a secretarial or personal assistant role is preferred;
  • Computer literacy, particularly with Microsoft Word, Excel, and PPT;
  • Fluency in Greek & English;
  • Excellent communication skills and to be able to be part of a team;
  • Have the ability to work under pressure and to meet tight deadlines.

An attractive remuneration package will be awarded to the successful candidate (fixed salary EUR 18,000 - EUR 21,000, depending on experience/qualification, plus a performance based bonus). Please forward CV to Mina Pieri ) and Charles Savva ).
